Canceling Retreat Visits Unrelated to Workshops or Special Offers.

Customers may cancel retreat reservations that are not associated with any workshop attendance or Special Offers and/or Sweepstakes, by providing timely notice (see below) and by calling the retreat’s main office, at (443) 963-6440, and speaking with a company representative. To cancel the booking, the customer must be able to verify his/her identity as the original booking party, and must provide the same credit card account information initially used to make the reservations. Once the customer successfully verifies his identity, WWCR will immediately issue the customer a cancellation confirmation code. Within 48 hours, WWCR also will send the customer an email confirming the canceled transaction. If the customer does not receive the cancellation confirmation email within 48 hours, he or she should call WWCR, provide the cancellation confirmation code, and request that another cancellation confirmation email be sent.

Timely Notice

To receive a complete refund of monies paid, minus any transaction processing fees charged to WWCR, the customer must notify WWCR more than three weeks (at least 22 days) in advance of his/her scheduled arrival date at the Retreat. Customers, who cancel room and board reservations within three weeks (21 days or less) before the scheduled arrival date, shall not be entitled to a refund. However, they shall receive a future credit, equal to the full amount paid as of the cancellation date. The customer may apply this credit to cover any future WWCR-related activities (retreat room and board reservations or workshop attendance fees), provided said activities are scheduled to start no later than one year (365 days) after the original cancellation notice date.


Canceling of Special-Offer Related Room/Board Reservations

Customers may cancel retreat reservations associated with Special Offers (special discounts, and/or Sweepstakes packages) and receive a CREDIT ONLY (Special Offer Deposits are non-refundable.) by calling the retreat’s main office, at 1-866-644-7868, and speaking with a company representative. To cancel the booking, the customer must verify his/her identity as the original booking party and must provide the same credit card account information used to make the initial reservations. WWCR will immediately issue the customer a cancellation confirmation code and send an email confirming the cancellation. If the customer does not receive the cancellation confirmation email within 48 hours, he or she should call WWCR, provide the cancellation code, and request that another cancellation confirmation email be sent.

Timely Notice

Customers who cancel reservations associated with Special Offers and do so at least 3 weeks before their scheduled arrival dates, shall receive a FULL CREDIT for their deposit, minus any 3rd-party payment processing fees. Paid-in-full customers, who cancel their Special Offer-related reservations at least 2 weeks prior to their scheduled arrival dates, also shall receive FULL CREDITS for amounts paid, minus any 3rd-party payment processing fees. Credits may be applied only toward future purchases that do NOT involve Special Offers. They also must be booked for use within 365 days of the original cancellation notice date.

Canceling Retreat Workshops

“Proper Notice of Withdrawal.” To qualify for a refund or credit, a customer must file a “proper notice of withdraw” with When Words Count Retreat. Such notice must be made in the form of a written withdrawal notification letter, signed by the customer and mailed via registered mail to the retreat’s business office : When Words Count Retreat, 1764 Marsh Brook Road, Rochester, VT 05767.
Refunds and credits require sufficient advance notice, in particular, because the When Words Count Retreat coaches fully read and evaluate each author’s manuscript and outline prior to the start of each workshop. The amount and nature of refunds and credits will vary according to the amount of workshop program costs prepaid and the amount of advance notice given. When a customer mails a notice of withdrawal to the retreat, the date printed on the stamp, or the date of the official postmark, whichever is later, shall be considered the official withdrawal notification date.Any method of notification other than the one described above shall not constitute an official notification of withdrawal and shall not be entitled to either refunds or credits.

Proper Notice

If you withdrawal from any When Words Count Retreat workshop at least six weeks (43 days) prior to the workshop’s start date, you shall be entitled to receive a FULL CREDIT for all funds paid — minus the cost of any application/registration fees and any payment processing costs charged to WWCR. You will have one year from your official withdrawal notification date to apply the credit toward another When Words Count Retreat workshop of equal or greater value. All discount amounts applied to the original workshop shall apply to the second workshop. Alternately, you may receive a full refund less the amount of any application/registration fees and all payment processing costs incurred by WWCR. However, should you elect to receive a refund, any associated discount amounts, or special offers, applied to the initial workshop purchase shall not be applied to the cost of any future workshop.
Any customer who withdrawals from the workshop three-to-six weeks prior to the workshop’s official start date, shall receive a future workshop credit equal to 1/3 of all fees paid, minus any non-refundable application fees and any payment processing costs charged to WWCR. The value of all remaining fees paid shall be applied to the costs of reading/reviewing the submitted manuscript, or any related materials, and forfeited. Any customer who withdrawals from the workshop three weeks (21 days or less) prior to its scheduled start date, shall forfeit all fees paid up to an amount equal to half the total cost of the workshop program plus half the value of the room and board booked for that workshop.
If you withdraw from any workshop program after checking in at the retreat or after attending your manuscript evaluation session, you shall only be entitled to receive a refund , or future credit, for any remaining, unused, prorated portion of your room and board fees. (No refunds or credits will be issued for workshop fees paid.) All out-of-pocket fees spent on incidentals, a la carte coaching services, etc., shall not be eligible for either a refund or a credit.
